Physiotherapist terms and conditions
The agreement for CORU registered physiotherapists taking bookings through Book a Physio. A draft, under legal review, with the roster not yet open.
Draft. These terms are under legal review and no bookings are taken yet. They will be updated before the first booking.
Effective date: Draft, not yet in effect.
1. Introduction
These Terms and Conditions ("Agreement") govern your use of the Book a Physio platform ("Platform") as a physiotherapist ("Physiotherapist", "you"). The Platform is operated by [entity name to be confirmed], a company registered in Ireland ("Company", "we", "us").
By registering as a Physiotherapist on the Platform, you confirm that you have read, understood, and agree to be bound by this Agreement in its entirety. If you do not agree to these terms, you must not register or use the Platform.
2. Platform role and relationship
Book a Physio is a technology marketplace that connects physiotherapists with adults seeking physiotherapy. The Platform facilitates the booking, scheduling, and payment of sessions.
You acknowledge and agree that you are an independent practitioner and not an employee, agent, or partner of [entity name to be confirmed]. The Platform does not provide clinical oversight, supervision, or direction of your practice. You are solely responsible for the quality, safety, and clinical appropriateness of the services you provide. Nothing in this Agreement creates an employment relationship, partnership, joint venture, or agency between you and [entity name to be confirmed].
3. Eligibility and registration
To register as a Physiotherapist on the Platform you must be registered with CORU as a physiotherapist, on the register kept by the Physiotherapists Registration Board, and that registration must be verifiable by us on the public register at www.coru.ie. You must hold valid professional indemnity insurance covering online and telehealth physiotherapy, and you must comply with all applicable laws, regulations and professional codes of conduct in Ireland. The title physiotherapist is protected in Ireland and registration is the condition of using it.
Your registration must be current and maintained throughout the whole time you are on the Platform, not only at the point you join. If it lapses, is suspended or is revoked, you must tell us immediately and you may not deliver any further sessions through the Platform until it is restored.
You must provide accurate, complete, and up-to-date information during registration and maintain this information throughout your use of the Platform. [entity name to be confirmed] reserves the right to verify your registration status at any time and to suspend or remove your account if any information is found to be inaccurate or misleading.
Your profile is shown to patients only while all three of these hold: your application has been accepted, your payout account is set up and ready, and you have at least one open slot.
Once you have submitted your application, your CORU registration number, your qualification, your ISCP membership status and your professional indemnity details cannot be edited in place. A change is held as a proposed change, and your profile keeps showing the approved value until a person at Book a Physio approves it. A change to your registration number or to your indemnity policy is checked again from scratch.
Uploading a new document does not change what we hold until it has been reviewed. The previous document stays on file.
We hold a postal address for you, for formal notices under this Agreement and for our records. It is never published and never given to a patient. It may be outside Ireland. You agree to keep it current.
If your application is declined, you are told when you sign in, with the contact for asking us to take a second look. Your account is not closed. The details and every document you supplied with the application are deleted 30 days after the decision. The fact that an application was made and declined, and the reason, are kept. You may apply again. Asking for a second look stops the 30 days.
4. Professional obligations
As a Physiotherapist using the Platform, you agree to provide services to the highest professional standards and in accordance with evidence-based practice, maintain current CORU registration and professional indemnity insurance at all times, comply with CORU's code of professional conduct and ethics for physiotherapists and all applicable regulatory requirements, write a clinical note for every session on the Platform (all clinical notes for Platform sessions are made and kept on the Platform), attend all confirmed sessions on time (repeated cancellations or no-shows may result in account suspension or termination), maintain patient confidentiality in accordance with GDPR and your professional obligations, and not solicit or encourage patients to book services outside the Platform to circumvent fees.
You are responsible for your own continuing professional development and for meeting the requirements attaching to your registration. Where a session raises something outside your scope of practice, or needs hands on assessment or imaging, you are responsible for saying so and referring the patient on.
You are responsible for screening for red flags at the start of every session, and for stopping and redirecting the patient when a video session is not appropriate. The Platform does not screen patients for you.
A session is for the booked patient only. Nobody else takes part in it, and nobody records it: not you, not the patient and not us.
5. Professional indemnity insurance
Professional indemnity insurance is your own policy, in your own name. It is not provided, arranged, contributed to or extended by the Platform, and nothing in this Agreement gives you cover of any kind.
That policy must be in force for every session you deliver through the Platform, and must be adequate for your scope of practice and for the delivery of physiotherapy online and by telehealth. Cover that excludes remote consultations is not adequate for this Platform.
[entity name to be confirmed] may require you to produce a certificate of insurance, showing the insured name, the scope of cover and the expiry date, both before your account is activated and at any time afterwards, and may verify it with the insurer or broker. You agree to provide it on request.
If your insurance lapses, is cancelled, or ceases to cover the work you are doing here, you must tell us immediately and you may not deliver any session through the Platform until cover is reinstated. We may suspend your account for that period. Sessions already booked will be moved to another Physiotherapist where possible, or cancelled and refunded to the patient in full.
[entity name to be confirmed] accepts no liability for any claim, loss or damage arising from your failure to hold adequate professional indemnity insurance.
6. Garda vetting and work with under 18s
This Platform is for adults. Patients must be 18 or over and booking for themselves, and you may not use the Platform to deliver physiotherapy to anyone under 18.
If a session turns out to involve a person under 18, you must end it and tell us. We will cancel and refund the booking. This is not a matter for your discretion or the patient's.
Work with children is not merely switched on later. Before any such work is ever opened on this Platform, Garda vetting must be completed through the Platform's own vetting process, as well as any vetting your own practice requires. Vetting you hold from another employer or practice does not carry over, because vetting disclosures are made to a specific relevant organisation for a specific role.
7. Payments and commission
7.1 Payment processing
All payments for sessions booked through the Platform are processed by [entity name to be confirmed] via Stripe, a third-party payment processor. Patients pay for sessions at the time of booking through the Platform. You acknowledge and agree that [entity name to be confirmed] acts as the payment facilitator and that all session payments are collected by [entity name to be confirmed] on your behalf before being disbursed to you, less the applicable commission.
7.2 Your payout account with Stripe
To receive payments through the Platform, you set up a payout account with Stripe, from your account on the Platform. You give your bank details and verify your identity directly with Stripe, on Stripe's own pages. By setting up the account, you agree to Stripe's Connected Account Agreement in addition to these Terms. [entity name to be confirmed] is not responsible for Stripe's services, fees, or policies. Your payout account is managed by you, with Stripe. You are responsible for ensuring your bank details are accurate and up to date. [entity name to be confirmed] cannot access your bank account details and is not liable for payment delays or errors caused by incorrect information provided to Stripe.
7.3 Commission rate
[entity name to be confirmed] charges a commission of 20% of the total session fee paid by the patient for each booking made through the Platform for which your share is owed under section 7.4. The example uses a 100 euro session fee so the arithmetic is plain: on a 100 euro fee, [entity name to be confirmed] would retain 20 euro as commission and disburse 80 euro to you. The commission covers the use of the Platform, patient acquisition, booking management, payment processing facilitation, and ongoing platform development and support.
7.4 How payments work
When a patient completes a booking and pays through the Platform, the full session fee is charged to the patient's card via Stripe and held by [entity name to be confirmed]. Your share is not released at the time of booking. [entity name to be confirmed] transfers 80% of the session fee to your payout account 7 days after the scheduled end time of the session, retaining 20% as commission.
Your share is owed when the session was attended, when the patient did not attend, or when the patient cancelled within 24 hours of the session. A transfer is made only when all of these hold: it is due, your share is owed, the patient's payment has been received and still covers your share, your account is active, and your payout account is ready to receive transfers.
The charge to the patient and the transfer to you are separate operations, and the transfer happens after the session rather than at booking. This process is automated. You do not need to invoice [entity name to be confirmed] or the patient.
7.5 Transfers while you are suspended or after removal
While your account is suspended, transfers that fall due are held. They are paid if your account is reinstated.
If you are removed from the Platform, transfers not yet paid are not released automatically. We review each one, decide whether to release it or withhold it, and give you the reason.
7.6 Payouts to your bank
Once your share has been transferred to your payout account, it is paid out to your bank account on the payout schedule that applies to your connected account. That schedule, and the time any individual payout takes to arrive, is set and controlled by Stripe, not by us. Stripe may also hold payouts on a new account while it completes its own risk review. We do not guarantee any payout date, and nothing here is a promise that funds will reach your bank by a particular day.
7.7 Taxes
You are solely responsible for all tax obligations arising from your earnings through the Platform, including but not limited to income tax, USC, PRSI (if applicable), and VAT (if applicable). [entity name to be confirmed] does not withhold tax on your behalf. You are responsible for registering with Revenue and filing all necessary returns.
7.8 Commission changes
[entity name to be confirmed] reserves the right to amend the commission rate with 30 days' written notice to you via email. Continued use of the Platform after such notice constitutes acceptance of the revised commission rate.
7.9 No guaranteed income
Book a Physio does not guarantee any minimum level of income, bookings, or patient volume. Your earnings through the Platform are entirely dependent on the number of sessions patients book with you. The Platform provides the technology and patient access to facilitate bookings, but does not guarantee that bookings will be made. You acknowledge that your income from the Platform may vary and is not a substitute for guaranteed employment or a salaried position.
7.10 Receipts and records
You are responsible for maintaining your own financial records for tax purposes. [entity name to be confirmed] provides transaction records through the Platform and Stripe dashboard, but does not issue invoices or tax statements on your behalf.
7.11 Tax compliance
By using the Platform, you confirm that you are compliant with all applicable tax obligations in your jurisdiction, including income tax, VAT (if applicable), USC, and PRSI. You agree to provide evidence of tax compliance to [entity name to be confirmed] upon reasonable request. [entity name to be confirmed] is not responsible for any tax liabilities arising from your use of the Platform.
8. Session fees and pricing
The session fee is set by [entity name to be confirmed], not by you. There is one price for a session across the whole Platform, it is shown on the site, and every Physiotherapist takes bookings at that price. You do not set, vary or negotiate your own rate, and there is no per-physiotherapist pricing.
You receive 80% of that fee for each session for which your share is owed under section 7.4, and [entity name to be confirmed] retains 20% as commission, as set out in section 7. The fee displayed to patients is the total they pay and already includes the commission, so patients see and pay a single, transparent price.
[entity name to be confirmed] may change the session fee with 30 days' written notice to you by email. A change will not apply to bookings already confirmed at the time of the change. If a new fee does not suit you, you may stop taking bookings or terminate this Agreement under section 14.
Session packs
Patients may also buy a pack of sessions with one Physiotherapist, chosen when they buy it: 5 sessions for EUR 260 or 10 sessions for EUR 495. Its sessions are used within 6 months of payment. [entity name to be confirmed] sets the pack prices, as it sets the session fee.
You receive 80% of the session fee. When a patient buys a pack at a discount, the discount is shared equally between you and Book a Physio. Your share of each session from a pack is owed under section 7.4 exactly as for a single session, and is transferred on the same timetable.
If the patient cancels the pack, each session from it that you were owed for is repriced at the single session fee, and you receive the difference between your share at that fee and your share of the pack session, on the same timetable. Sessions from a pack that expire unused are not delivered, so no share is owed for them. If you are suspended or removed, or can no longer take sessions, the patient may use the pack's remaining sessions with another Physiotherapist.
9. Cancellations, refunds, and no-show policy
There are no monetary penalties in this section. Where you cancel a session or do not join it, the patient is refunded and no payout is released for it, and the sanction for doing that repeatedly is suspension or termination, not a fee.
9.1 Patient cancellations
When a patient cancels a booking: more than 24 hours before the session, the patient receives a full refund and no fee is charged to you; within 24 hours of the session or a no-show, no refund is issued to the patient and you retain your full session fee.
9.2 Physiotherapist cancellations
The patient receives a full refund whenever you cancel, regardless of when you cancel, and no payout is released to you for that session. No cancellation fee is charged to you. Repeated cancellations, and cancellations made late, may lead to a review of your account and to suspension or termination under sections 4 and 14.
9.3 Physiotherapist no-show
A no-show is defined as failure to join the scheduled session within 15 minutes of the start time. In the event of a no-show, the patient is refunded in full and no payout is released for that session. There is no monetary penalty. Repeated no-shows or late cancellations may lead to suspension or termination under sections 4 and 14.
9.4 Your hours, and moving a session
You set the hours you are open. Sessions can be booked no less than 6 hours and no more than 6 weeks ahead.
The patient may move a booking once, free of charge. A move you make does not use the patient's one move. You cannot move a session with less than 6 hours' notice: you cancel it instead under section 9.2, which refunds the patient.
If the patient has not joined within 15 minutes of the start time, you may leave, and the session counts as a patient no-show.
9.5 Refund processing
All patient refunds are processed via Stripe and typically take 5 to 10 business days to appear in the patient's account. You will not be invoiced for a cancellation or a no-show, and nothing is deducted from a later payout: where the patient cancels more than 24 hours before the session, or where you cancel or do not join, no payout is released for it in the first place.
10. Intellectual property
All content, branding, logos, software, and technology associated with the Book a Physio platform are the intellectual property of [entity name to be confirmed] and may not be reproduced, modified, or distributed without prior written consent.
Any content you upload to the Platform (profile information, biography, qualifications) remains your intellectual property, but you grant [entity name to be confirmed] a non-exclusive, royalty-free licence to display this content on the Platform for the purposes of promoting your services.
Upon termination of your account, [entity name to be confirmed] will remove your profile, biography, and profile image from the Platform within 30 days. You may request earlier removal by contacting hello@bookaphysio.ie. Anonymised or aggregated data derived from your use of the Platform (such as session statistics) may be retained for analytics and platform improvement purposes.
11. Data protection
Both you and [entity name to be confirmed] have obligations under the General Data Protection Regulation (EU) 2016/679 (GDPR) and the Irish Data Protection Act 2018.
Clinical notes for sessions on the Platform are made and kept on the Platform, and [entity name to be confirmed] is the data controller for them, and for account, booking and payment data processed through the Platform. You must process patient data in accordance with GDPR and your professional obligations.
You can see a patient's record from when their booking with you is confirmed until 30 days after your most recent session with them, and again in full when they book with you again. After that, access to the records of your own sessions is on request, for a complaint, a claim or a regulatory inquiry, and each request is logged. Notes you write may be seen by another Physiotherapist the patient later books. A session that did not take place carries no note and gives no access.
For full details on how [entity name to be confirmed] processes personal data, please refer to our privacy notice.
12. Limitation of liability
To the maximum extent permitted by Irish law: [entity name to be confirmed] provides the Platform on an "as is" and "as available" basis and makes no warranties regarding uninterrupted access, error-free operation, or suitability for your specific needs. [entity name to be confirmed] is not liable for any loss of income, revenue, or business arising from Platform downtime, technical issues, or patient cancellations. [entity name to be confirmed] is not liable for any clinical outcomes, complaints, or claims arising from the services you provide.
Nothing in this Agreement excludes or limits [entity name to be confirmed]'s liability for death or personal injury caused by its negligence, fraud, or any other liability that cannot be excluded or limited under Irish law.
13. Indemnification
You agree to indemnify and hold harmless [entity name to be confirmed], its directors, officers, and employees from and against any claims, losses, damages, liabilities, and expenses (including legal fees) arising from your provision of physiotherapy services through the Platform, any breach of this Agreement by you, any breach of your professional obligations or regulatory requirements, and any claim by a patient relating to the quality or outcome of care you have provided.
14. Suspension, removal and termination
14.1 Termination on notice
Either party may terminate this Agreement at any time by providing 30 days' written notice via email. Transfers already owed under section 7.4 follow the normal schedule in that section.
14.2 Suspension
[entity name to be confirmed] may suspend your account immediately and without notice if you breach any material term of this Agreement, your CORU registration is revoked, suspended, or lapses, your professional indemnity insurance lapses, a complaint is received that in [entity name to be confirmed]'s reasonable opinion poses a risk to patient safety, or you engage in conduct that brings the Platform into disrepute. [entity name to be confirmed] may also suspend your account on a precautionary basis while investigating any complaint, allegation, or concern relating to your conduct, clinical practice, or compliance with these Terms.
While your account is suspended you cannot change your hours, cannot set up payouts, are not shown to patients, and cannot open patient files or write session notes. You are told that your account is suspended and that a decision will follow. The decision is one of two: your account is reinstated, or you are removed from the Platform.
14.3 Insurance lapse
A suspension because your insurance has lapsed is not a ruling. It is a reminder to upload a renewed certificate. You can upload one while suspended, and once we have checked it your account is restored.
While the lapse lasts, your booked sessions are moved to other Physiotherapists. A session that was moved comes back to you if your insurance is restored before it takes place, unless the patient has already declined the move and been refunded.
14.4 Removal
Removal from the Platform is final. It is decided by [entity name to be confirmed], and you are always given the reason. Nothing is deleted on removal. Removal is separate from termination on notice under section 14.1.
14.5 Your booked sessions
If you are suspended, or otherwise cannot take a session a patient has booked with you, we will move the booking to another available Physiotherapist at the same time where we can, and tell the patient. The patient's payment moves with the booking, and the patient may decline the move and be refunded in full. If no other Physiotherapist is available at that time, the patient is refunded in full.
15. Dispute resolution
In the event of a dispute arising from or in connection with this Agreement, both parties agree to first attempt resolution through good-faith negotiation. If the dispute is not resolved within 30 days, either party may refer the matter to mediation administered by an agreed mediator or, failing agreement, a mediator appointed by the Law Society of Ireland. Both parties agree to participate in mediation in good faith before commencing any court proceedings. If mediation is unsuccessful within 60 days of referral, either party may submit the dispute to the courts of Ireland.
16. Governing law
This Agreement is governed by and construed in accordance with the laws of Ireland. Both parties submit to the exclusive jurisdiction of the Irish courts.
17. Platform changes
[entity name to be confirmed] reserves the right to modify, update, suspend, or discontinue any feature or functionality of the Platform at any time, with or without notice. We will endeavour to provide reasonable notice of any material changes that may affect your use of the Platform.
18. Third-party services
The Platform relies on third-party services including but not limited to our video provider (video calls), Stripe (payment processing), Supabase (database hosting) and Resend (email notifications). [entity name to be confirmed] is not responsible for the availability, performance, or functionality of these services. Any issues arising from third-party services are governed by their respective terms of service.
19. Beta features
From time to time, [entity name to be confirmed] may offer access to new or experimental features ("Beta Features"). Beta Features are provided "as is" without any warranties or guarantees. [entity name to be confirmed] is not liable for any issues arising from the use of Beta Features.
20. Marketing and feedback
By using the Platform, you consent to [entity name to be confirmed] using anonymised and aggregated feedback, usage data, and platform statistics for marketing, promotional, and platform improvement purposes. No personally identifiable information will be shared publicly without your explicit consent.
21. Reviews and ratings
If [entity name to be confirmed] introduces a reviews or ratings system in the future, [entity name to be confirmed] reserves the right to moderate, edit, or remove reviews that are abusive, defamatory, misleading, or otherwise inappropriate.
22. Prohibited use
You may not use the Platform for any unauthorised commercial purpose, attempt to reverse-engineer, decompile, or disassemble any part of the Platform, or interfere with the Platform's operation or security. Any such use may result in immediate termination of your account.
23. Referral programmes
[entity name to be confirmed] may from time to time operate referral programmes for Physiotherapists. Any such programme will be subject to separate terms and conditions communicated at the time of the programme. [entity name to be confirmed] reserves the right to modify or discontinue any referral programme at any time.
24. Changes to platform fees
[entity name to be confirmed] reserves the right to change the commission rate or introduce additional platform fees with 30 days' written notice via email. Continued use of the Platform after such notice constitutes acceptance of the revised fees. Fee changes will not apply retrospectively to bookings already confirmed at the time of the change.
25. Onboarding and offboarding
[entity name to be confirmed] reserves the right to establish and amend onboarding requirements for new Physiotherapists, including verification procedures, documentation requirements, and approval criteria. Upon termination or removal of an account, transfers already owed under section 7.4 follow sections 7.4, 7.5 and 14.
26. International expansion
If [entity name to be confirmed] expands the Platform to jurisdictions outside Ireland, Physiotherapists operating in those jurisdictions must comply with all local laws, regulations, and professional registration requirements applicable to the provision of physiotherapy services. [entity name to be confirmed] reserves the right to introduce jurisdiction-specific terms and conditions as required.
27. Amendments
[entity name to be confirmed] reserves the right to amend these Terms and Conditions at any time. Material changes will be communicated to you via email at least 30 days before they take effect. Your continued use of the Platform after such changes constitutes acceptance of the amended terms.
28. Contact
If you have any questions about these Terms and Conditions, please contact:
By completing your registration on the Book a Physio platform, you confirm that you have read, understood, and agree to be bound by these Terms and Conditions.
